Questions and Answers

IFB#12-004
Transportation: Unkechaug Reservation to and from Center Moriches Union Free Schools

  1. There is some confusion in the invitation to bid document IFB12004- 5.) SUBMISSION DOCUMENTS - ATTACHMENT "A" Cost Proposal.

I believe the (IFB) is for the Poospatuck Indian Reservation Attending Center Moriches SD and other local schools.

Throughout the IFB on some pages the Tuscarora Indian Reservation and Unkechaug Indian Reservation are identified.

Answer: The bid is for transportation to and from Center Moriches UFSD and other schools for students residing on the Poospatuck Reservation, NOT the Tuscarora Reservation. Any reference to the Tuscarora Reservation was a typographical error. An updated and corrected IFB and Submission Documents are posted at http://www.p12.nysed.gov/compcontracts/compcontracts.html. The Poospatuck Reservation/Nation is also known as the Unkechaug Reservation/Nation, their traditional name.

  2. Please clarify the following conflict in the specifications:

IFB, page 14 – the last paragraph on the page indicates that the cost of two Aide/Monitors will be included in the total yearly cost in determining the lowest bidder. Attachment A, pages 1 and 2 both contain as asterisk after the cost each aide.
    • The cost of 1 Aide/Monitor WILL be included when determining lowest bidder.

Also, on Attachment A, page 2, (3/4 down the page), the “Vehicle Total Year” indicates Year 1, Year 2, and Year 3.

I believe this is a typo and it should say Year 4, Year 5, and Five Year Total.

Answer: As referenced on page 14 of the IFB, the cost of TWO (2) Aides/Monitors
will be included in the total yearly cost in determining the lowest bidder. Attachment A, pages 1 and 2, had typographical errors. An updated and corrected IFB and Submission Documents are posted at http://www.p12.nysed.gov/compcontracts/compcontracts.html. The vehicle total years on Attachment A, page 2, was also corrected on the corrected documents.

  4. What is the current price that the transportation is being done for school year 2011/2012?

Answer: NYSED is not providing this information.

  5. Is the price per bus per year? Or per bus per day?

Answer: Price is per bus/vehicle per year.

  6. Is there any late run that need to be covered past the normal dismissal? How many late runs if any?

Answer: A summary of current school times and students is provided in Attachment E of the Submission Documents. At this time, no late runs are anticipated. Prospective bidders are required to contact the school district directly in determining any changes or additions to Attachment E.

  7. How many days will there be bus service? 180 days or 183 days?

Answer: Attachment F of the Submission Documents instructs bidders to acquire 2012-13 school year calendars directly from the school districts and schools involved to develop bid amounts. These school calendars shall be submitted along with the bid proposal. Bidders will be required to provide service all days that school is in session. As outlined in Attachment A, Section C - Adjustments: "In the event it becomes necessary to add or delete any service pertaining to this contract, it is understood that the vehicle charges proposed above will be used in those situations resulting in an increase or decrease in the number of vehicles required. The charges or credits will be pro-rated using 180 days service as the base for said pro-ration."
